Terms of service

Last updated: [DATE]

Draft for review. Yellow items are placeholders to fill in. Have a solicitor read this before you collect personal data or take payment, then delete this box.

These terms are an agreement between you and [COMPANY NAME LTD] ("Tenevo", "we", "us"), company number [COMPANY NUMBER], registered office [REGISTERED ADDRESS]. They apply when you start a free trial or use Tenevo ("the Service"). By starting a trial you agree to them and to our privacy policy.

1. What Tenevo is, and is not

Tenevo is software that helps landlords in England organise property records, track certificate and legal deadlines, log repairs and prepare documents. It is a record-keeping and reminder tool. It is not legal, tax or financial advice, and we are not a letting agent. Rules change and depend on your circumstances. You stay responsible for meeting your legal duties, for the accuracy of what you enter, and for checking anything the AI reads or drafts before you rely on it or send it.

2. Free trial

New accounts get a 14-day free trial. We do not ask for a card to start. At the end of the trial your account is paused until you choose a plan and add payment details. We will email you before the trial ends. [State what happens to data if you do not subscribe, for example kept for 60 days then deleted.]

3. Plans, prices and payment

PlanProperties includedPrice (incl. VAT if applicable)
StarterUp to 3£7.99 per month
LandlordUp to 10£14.99 per month
PortfolioUp to 25£29.99 per month

Extra properties above your plan cost £1.49 per property per month. Yearly billing costs £79, £149 or £299 a year, about two months free. [Confirm prices and whether VAT applies to you.] Subscriptions renew automatically each period until cancelled. We will give at least 30 days' notice of any price change, and you may cancel before it takes effect. Payments are handled by [Stripe].

4. Cancelling and refunds

You can cancel at any time from your billing page. You keep access until the end of the period you have paid for. [Confirm: If you are not happy, ask for a refund within 14 days of your first payment and we will refund it in full.] If you are acting as a consumer, you also have the statutory rights that cannot be excluded. Nothing in these terms limits them.

5. Your account and your data

6. Acceptable use

Do not use the Service unlawfully, upload malware, try to access other people's data, resell the Service without our agreement, or use it to harass or discriminate against tenants or others.

7. AI features

AI output can be wrong or incomplete, including dates, names and amounts extracted from documents. The Service is designed so that you review and approve actions, but you are responsible for the decisions you make and the messages you send.

8. Availability and changes

We work to keep the Service available but cannot promise it will always be uninterrupted or error free. We may improve, change or remove features, and will give notice of changes that significantly reduce what you have paid for. Features marked "coming soon" are plans, not promises.

9. Our responsibility to you

Nothing in these terms limits liability for death or personal injury caused by negligence, fraud, or anything else the law does not allow us to limit. Subject to that: we are not liable for indirect or consequential loss, loss of profit, or fines and penalties arising from missed deadlines or compliance failures, because you remain responsible for compliance; and our total liability to you for any claim is limited to the fees you paid us in the 12 months before the claim. [Solicitor to check this section, particularly if customers may be consumers.]

10. Ending the agreement

We may suspend or end your account if you seriously or repeatedly break these terms, or if we stop offering the Service, with reasonable notice where possible and a refund of any prepaid period we cannot provide.

11. Changes to these terms

We may update these terms. We will tell you by email at least 30 days before material changes take effect. Continuing to use the Service after that means you accept them.

12. General

These terms are governed by the laws of England and Wales and the courts of England and Wales have jurisdiction, except that if you live elsewhere in the UK you may also bring claims in your local courts. Contact: [privacy@yourdomain.co.uk].
